Visibility & allowlists
Every form has a visibility setting that controls who can open the fill-out page.
Public forms
A public form can be opened by anyone who has the link — no account required. Responses from anonymous visitors are stored with a session ID instead of a user ID.
Use public forms for open surveys, registration pages, or any form where you do not need to identify respondents.
Private forms
A private form requires the respondent to be signed in to an EB Forms account. Additionally, if an allowlist has been configured, only accounts whose email address appears on the allowlist can access the form.
Use private forms for internal surveys, restricted data collection, or any situation where you need to control who can respond.
Managing the allowlist
- Open the form detail page.
- Click Allowlist in the form actions menu.
- Enter the email address of a user you want to allow and click Add.
- Repeat for each additional email. You can remove any email from the list at any time.
If the allowlist is empty and visibility is set to Private, any signed-in user can respond.
If the allowlist is non-empty and visibility is set to Private, only users whose email appears on the list can respond. Signed-in users not on the list will see an "Access denied" message.
Changing visibility
Visibility can be changed at any time — even after publishing — from the form detail page. Changing from Public to Private will immediately require sign-in for any new respondent who opens the link.
